Booking Rules

Member Accounts

  • Each member has an account within this booking system.
  • Where there is a class or court cost, members must have credit in order to reserve courts.
  • Members can credit their accounts as follows:
    • By purchasing £5, £10 or £20 top-up vouchers from the club shop on the lower ground floor, and applying the top-up by logging-in to this website or by using the touch screen "kiosk" next to the squash courts (please note you will need to know your PIN in order to top-up with the touch screen "kiosk").
    • Members can also top-up their accounts online when logged into the booking system website. Click the link to "Buy Credit Online" and follow the instructions. Your payment will be processed by Stripe -- you do not need a Stripe account to complete the transaction, you can use most any credit or debit card. Your booking system account will be automatically credited as soon as you complete the transaction.

Outdoor Tennis Booking Rules

  • All bookings must be made using members Mycourts account.
  • Artificial Grass Tennis Courts 1, 2, 3, 4 and 5 may be booked 7 days prior.
  • Artificial Clay Tennis Courts 9,10 and 11 can be booked 7 days prior. Coaches can book 14 days prior.
  • Real Grass Tennis Courts 6, 7 & 8 are stand and wait when open.
  • Members MUST show the opponent's name on the booking sheet, where not shown it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest, the opponent must show as Tennis Adult Guest or Tennis Jnr Guest for each period booked, and your MyCourts account will be automatically debited.
  • All courts used for individual tennis lessons MUST be booked by the coach, clearly stating the member’s name or tennis guest type.
  • Please avoid short notice cancellations other than for inclement weather. All court cancellations MUST be completed on MyCourts as early as possible to make the court available for other members use.
  • Members do not need credit in their Mycourts account in order to reserve outdoor courts as court booking is free of charge.

Indoor Tennis Booking Rules

  • Indoor Tennis Courts 1, 2 and 3 may be booked 14 days prior from 7am onwards.
  • A booking fee MUST be paid prior to playing on the Indoor Courts. CCTV is in operation on the Indoor Courts. Failure to book before play will result in you being alerted by email and your MyCourts account being debited, a continued failure to do so will trigger a disciplinary process which may result in suspension.
  • Members MUST show the opponent's name on the booking sheet, where not shown it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest the opponent must show as Tennis Adult Guest or Tennis Jnr Guest for each period booked and your MyCourts account will be automatically debited.
  • Two courts may be booked by Tennis Coaches in advance leaving one free for members booking, but only one court can be booked by Tennis Coaches after 6:30pm for individual lessons, leaving two free for members booking.
  • Tennis coaches may book additional indoor tennis courts no earlier than four days before start time if not booked by a member. (3rd court prior to 6.30pm and second court after 6.30pm)
  • All courts used for individual tennis lessons MUST be booked by the coach, clearly stating the member’s name or tennis guest type. A maximum of 90 court hours per week is permitted for individual and junior group coaching. (Performance, Junior and LPDC coaching)
Member Accounts -- Indoor Courts
  • Each member has an account within the MyCourts booking system.
  • Members must have credit in order to reserve courts. Members can top-up their accounts online when logged into the Mycourts website.
    • Click the link to "Buy Credit Online" and follow the instructions.
    • Your payment will be processed by Stripe -- you do not need a Stripe account to complete the transaction, you can use most credit or debit cards or ApplePay.
    • Your booking system account will be automatically credited as soon as you complete the transaction.
  • Booking Fees
    • £4 per half hour
    • £12 per 1.5 hours weekday evenings (Exc Fridays & weekends where £3 per half hour applies).
Cancellations & Refunds
  • When unable to use a reserved court, members should cancel as soon as possible so that the court may be used by other members.
  • The booking fee is automatically refunded when the court is cancelled more than 48 hours prior.
  • When the booking is cancelled within 48 hours, the booking fee is only refunded (automatically) if the same court is re-booked by another member.

Squash Booking Rules

  • All bookings must be made using members My Courts account.
  • Squash Courts 1, 2 & 3 are glass backed courts and Squash Courts 4, 5 & 6 have glass doors, all with lights operated using a motion sensor.
  • When booking 14 days prior:
    • All Squash Courts can be booked from 7am onwards.
  • Members must show the opponent's name on the booking sheet unless playing on their own.
  • A booking fee MUST be paid prior to playing.
  • CCTV is in operation on the Courts.
  • Failure to book before play will result in you being alerted by email and your My Courts account being debited, a continued failure to do so will trigger a disciplinary process which may result in suspension.

Booking Fees
  • 50p per booking (45 minutes) OFF PEAK
  • £1.00 per booking (45minutes) PEAK
Cancellations & Refunds
  • When unable to use a reserved court, members should cancel as soon as possible so that the court may be used by other members.
  • The booking fee is automatically refunded when the court is cancelled more than 48 hours prior.
  • When the booking is cancelled within 48 hours, the booking fee is only refunded (automatically) if the same court is re-booked by another member.

Gym/Classes

  • All gym and fitness sessions must be booked on MyCourts.
  • All rackets classes must be booked on MyCourts, where there is a cost levied the booking fee is automatically refunded when the court is cancelled more than 48 hours prior.

Spinning Classes / Cancellations & Refunds

  • When unable to attend Spinning Classes, members should cancel as soon as possible so that their places can be used by other members.
  • There is no late-cancellation charge when cancelling more than 48 hours prior.
  • When cancelling within 48 hours, the system charges a £5 late-cancellation fee, however, this is automatically refunded if the session becomes "fully booked".

Guest Fees

  • Members MUST show the opponent's name on the booking sheet unless playing on their own.
  • When playing someone else and not adding a member name it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest the opponent must show as Squash/Tennis Adult Guest or Squash/Tennis Jnr Guest and your MyCourts account will be automatically debited.
  • If you're no longer playing a Guest, you can change your playing partner/opponent to a member, and the Guest Fee will be automatically refunded.
  • This can be done when you book the court or any time before playing.

PADEL Booking Rules for Pay & Play Visitors

  • Padel Courts may be booked from 7am.
  • Play must cease on all courts at 10.00 pm
  • Pay & Play Visitors can book 7 days in advance
  • Bookings must be made in advance using your MyCourts login.
  • CCTV is in operation on the Courts.
  • Club Members and Coaches have priority booking options.
  • Padel Bats which have been hired are stored in a court numbered locker in the Padel Pod (Pavilion). An access code number will be issued by email on the day of your booking
  • Access to the Padel Courts is along a path adjacent to the grass court and then via locked gate. You will need your unique MyCourts 4 digit PIN number to open the gate. The gate can only be opened up to 30 minutes before your booking time.
  • Access to the Club and Changing Rooms is available using your unique MyCourts PIN number, 30 minutes prior to and after your booking time.
Pay & Play Accounts -- Padel Courts
  • Each Pay and Play Visitor has an account within the MyCourts booking system.
  • You must have sufficient credit in order to reserve courts. Accounts can be topped up online when logged into the Mycourts website.
    • Click the link to "Buy Credit Online" and follow the instructions.
    • Your payment will be processed by Stripe -- you do not need a Stripe account to complete the transaction; you can use most credit or debit cards or ApplePay.
    • Your booking system account will be automatically credited as soon as you complete the transaction.
  • Booking Fees
    • £40 per 75-minute session
Cancellations & Refunds
  • When unable to use a booked court, you should cancel as soon as possible so that the court may be booked by other players.
  • The booking fee is automatically refunded when the court is cancelled more than 48 hours prior.
  • When the booking is cancelled within 48 hours, the booking fee is only refunded (automatically) if the same court is re-booked by another player.
  • The Club reserves the right to cancel bookings if the courts are considered unplayable. In which case you will be contacted in advance and your booking fee refunded.
Declaration

By signing up to play Padel at WLTSC and agreeing with the Booking Rules and Privacy Policy, the Pay & Play visitor hereby agrees to the following additional terms and conditions:

  • The Pay & Play Visitor I will only use the courts booked by them for the times that have been paid for and will vacate the courts promptly at the end of the session. Access to the Club and Courts is allowed for 30 mins before and 30 mins after the booking slot.
  • All members of the Pay & Play Visitors group will respect and take care of the Club’s facilities and equipment, and will return any hired equipment in good condition, as it was issued. The Visitor booking the court will be responsible for any damage caused to the facilities or equipment due to their groups actions.
  • Respect and courtesy will be shown to all other players and staff, and any behaviour that is disruptive, offensive, or harmful to others, including shouting or foul language will result in all booking privileges being removed. Alcohol or chewing gum must not be taken onto the courts, or smoke or vape or drugs used on Club premises.
  • The Club’s relationship with its close neighbours is of the utmost importance and the Pay & Play Visitor agrees to respect this, to park considerately and keep noise down to a minimum and respect the community that the Club sits within.
  • The Pay & Play Visitor accepts that participation in racket sports involves inherent risks, including potential injury, and they release WLTSC and its staff, from any liability for any injury, loss, or damage incurred while participating in such sports.
