Booking Rules

Member Accounts

  • Each member has an account within this booking system.
  • Where there is a class or court cost, members must have credit in order to reserve courts.
  • Members can credit their accounts as follows:
    • By purchasing £5, £10 or £20 top-up vouchers from the club shop on the lower ground floor, and applying the top-up by logging-in to this website or by using the touch screen "kiosk" next to the squash courts (please note you will need to know your PIN in order to top-up with the touch screen "kiosk").
    • Members can also top-up their accounts online when logged into the booking system website. Click the link to "Buy Credit Online" and follow the instructions. Your payment will be processed by Stripe -- you do not need a Stripe account to complete the transaction, you can use most any credit or debit card. Your booking system account will be automatically credited as soon as you complete the transaction.

Outdoor Tennis Booking Rules

  • All bookings must be made using members Mycourts account.
  • Artificial Grass Tennis Courts 1, 2, 3, 4 and 5 may be booked 7 days prior.
  • Artificial Clay Tennis Courts 9,10 and 11 can be booked 7 days prior. Coaches can book 14 days prior.
  • Real Grass Tennis Courts 6, 7 & 8 are stand and wait when open.
  • Members MUST show the opponent's name on the booking sheet, where not shown it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest, the opponent must show as Tennis Adult Guest or Tennis Jnr Guest for each period booked, and your MyCourts account will be automatically debited.
  • All courts used for individual tennis lessons MUST be booked by the coach, clearly stating the member’s name or tennis guest type.
  • Please avoid short notice cancellations other than for inclement weather. All court cancellations MUST be completed on MyCourts as early as possible to make the court available for other members use.
  • Members do not need credit in their Mycourts account in order to reserve outdoor courts as court booking is free of charge.

Indoor Tennis Booking Rules

  • Indoor Tennis Courts 1, 2 and 3 may be booked 14 days prior from 7am onwards.
  • A booking fee MUST be paid prior to playing on the Indoor Courts. CCTV is in operation on the Indoor Courts. Failure to book before play will result in you being alerted by email and your MyCourts account being debited, a continued failure to do so will trigger a disciplinary process which may result in suspension.
  • Members MUST show the opponent's name on the booking sheet, where not shown it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest the opponent must show as Tennis Adult Guest or Tennis Jnr Guest for each period booked and your MyCourts account will be automatically debited.
  • Two courts may be booked by Tennis Coaches in advance leaving one free for members booking, but only one court can be booked by Tennis Coaches after 6:30pm for individual lessons, leaving two free for members booking.
  • Tennis coaches may book additional indoor tennis courts no earlier than four days before start time if not booked by a member. (3rd court prior to 6.30pm and second court after 6.30pm)
  • All courts used for individual tennis lessons MUST be booked by the coach, clearly stating the member’s name or tennis guest type. A maximum of 90 court hours per week is permitted for individual and junior group coaching. (Performance, Junior and LPDC coaching)
Member Accounts -- Indoor Courts
  • Each member has an account within the MyCourts booking system.
  • Members must have credit in order to reserve courts. Members can top-up their accounts online when logged into the Mycourts website.
    • Click the link to "Buy Credit Online" and follow the instructions.
    • Your payment will be processed by Stripe -- you do not need a Stripe account to complete the transaction, you can use most credit or debit cards or ApplePay.
    • Your booking system account will be automatically credited as soon as you complete the transaction.
  • Booking Fees
    • £4 per half hour
    • £12 per 1.5 hours weekday evenings (Exc Fridays & weekends where £3 per half hour applies).
Cancellations & Refunds
  • When unable to use a reserved court, members should cancel as soon as possible so that the court may be used by other members.
  • The booking fee is automatically refunded when the court is cancelled more than 48 hours prior.
  • When the booking is cancelled within 48 hours, the booking fee is only refunded (automatically) if the same court is re-booked by another member.

Squash Booking Rules

  • All bookings must be made using members My Courts account.
  • Squash Courts 1, 2 & 3 are glass backed courts and Squash Courts 4, 5 & 6 have glass doors, all with lights operated using a motion sensor.
  • When booking 14 days prior:
    • All Squash Courts can be booked from 7am onwards.
  • Members must show the opponent's name on the booking sheet unless playing on their own.
  • A booking fee MUST be paid prior to playing.
  • CCTV is in operation on the Courts.
  • Failure to book before play will result in you being alerted by email and your My Courts account being debited, a continued failure to do so will trigger a disciplinary process which may result in suspension.
  • When hosting a guest, the opponent must show as Squash Adult Guest or Squash Jnr Guest for each period booked and your MyCourts account will be automatically debited.

Booking Fees
  • 50p per booking (45 minutes) OFF PEAK
  • £1.00 per booking (45minutes) PEAK
Cancellations & Refunds
  • When unable to use a reserved court, members should cancel as soon as possible so that the court may be used by other members.
  • The booking fee is automatically refunded when the court is cancelled more than 48 hours prior.
  • When the booking is cancelled within 48 hours, the booking fee is only refunded (automatically) if the same court is re-booked by another member.

Gym/Classes

  • All gym and fitness sessions must be booked on MyCourts.
  • All rackets classes must be booked on MyCourts, where there is a cost levied the booking fee is automatically refunded when the court is cancelled more than 48 hours prior.

Spinning Classes / Cancellations & Refunds

  • When unable to attend Spinning Classes, members should cancel as soon as possible so that their places can be used by other members.
  • There is no late-cancellation charge when cancelling more than 48 hours prior.
  • When cancelling within 48 hours, the system charges a £5 late-cancellation fee, however, this is automatically refunded if the session becomes "fully booked".

Guest Fees

  • Members MUST show the opponent's name on the booking sheet unless playing on their own.
  • When playing someone else and not adding a member name it will be assumed that a guest is attending (Your MyCourts account will be debited accordingly each day).
  • When hosting a guest the opponent must show as Squash/Tennis Adult Guest or Squash/Tennis Jnr Guest and your MyCourts account will be automatically debited.
  • If you're no longer playing a Guest, you can change your playing partner/opponent to a member, and the Guest Fee will be automatically refunded.
  • This can be done when you book the court or any time before playing.

  • As data controller, it is the responsibility of Wolverhampton Lawn Tennis & Squash Club to: manage the Members Database and to ensure that only currently active members are given access to this website.

Information which is available to logged-in members

This website is a court reservation system and Members' Directory with individual Profile pages which share the following personally identifiable information amongst members of Wolverhampton Lawn Tennis & Squash Club but only when securely logged-in.

  • Booking Sheets which display the names of the members who reserved the courts and of other members selected as "playing partners/opponents" for the bookings.
  • Members' Directory with links to the members' individual Profile pages.
  • Member Profile pages which include first name, surname and other information, which may have been voluntarily added to the website by the member, such as phone numbers, email address, and profile images.

This website is also used to manage squash, tennis, badminton, and table tennis competitions such as Internal "Box" Leagues and Tournamennts which share the following personally identifiable information amongst members of Wolverhampton Lawn Tennis & Squash Club but only when securely logged-in.

  • Internal League positions and match results.
  • Tournament positions and match results.

What we do with the information we collect

We require this information in order to provide this website, in particular for the following purposes and for the mutual benefit of all members.

  • The main purpose of this website is to provide a court and fitness class booking system, as well as Internal League and Tournament competitions.
  • When you reserve courts, your name will be displayed on the Booking Sheets -- but only to securely logged-in members.
  • When other members book a court and select you as a "playing partner/opponent", your name will be displayed as such on the Booking Sheets -- but only to securely logged-in members.
  • The booking system itself will send you transactional emails to confirm you have reserved or cancelled courts. In addition, you may also subscribe to receive automatic email alerts when courts are cancelled by other members.
  • If you use the facility to "Transfer Credit" to share court booking fees, your name will be shown to the member to whom you've transfered credit, and the system will send an email notification to confirm the transaction.
  • If you provide consent to show your contact details (phone numbers and email address only), your contact details will be shown in the Members Directory -- but only to securely logged-in members.
  • If you participate in the Internal Leagues, your name, league number and position will be displayed on the Internal League pages -- but only to securely logged-in members.
  • If you participate in Tournaments, your position will be published on the tournament bracket -- but only to securely logged-in members.
  • If you "opt-in" to receive Wolverhampton Lawn Tennis & Squash Club's email Newsletter, designated System Administrators may use your email address to send you email Newsletters which may contain promotional content about the club. These email Newsletters always contain a link to "unsubscribe", and you may also opt-in/opt-out by adjusting your Email Settings when logged into this website.
  • Wolverhampton Lawn Tennis & Squash Club may also send you routine service messages relating to your membership contract.

MYCOURTS and Wolverhampton Lawn Tennis & Squash Club may use the information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Analyse court usage and fitness class particiaption.
  • Internal record keeping.
  • We may use your information to provide services related to your membership contract, and to improve our products and services.
  • We may also occasionally use your information to contact you for research purposes in order to customise the website according to your interests.

Lawful basis for processing

When you use this website, you provide both MYCOURTS and Wolverhampton Lawn Tennis & Squash Club with a legal basis to collect and process your personal data ("what we collect") in order to provide you with the services made available on this website.

Controlling your personal information

You may choose to restrict the collection or use of your personal information in the following ways:

  • If you do not want your name to be displayed on the Booking Sheets, then you can login and adjust your Privacy Settings and follow the link and instructions to "stop your name appearing on the Booking Sheets". Alternatively, you can contact Wolverhampton Lawn Tennis & Squash Club's Administrators and request to be removed from the Booking Sheets. In either case, you will not be able to use this website to reserve courts, and you will also be asked to cancel any court bookings you may be holding on the system.
  • If you want to remove your contact details from the Members Directory, you can login to this website and adjust your Privacy Settings and show your contact details as "ex-directory".
  • If you do not want your name to be displayed on the Internal Leagues and Tournaments, then you must contact Wolverhampton Lawn Tennis & Squash Club's League Organiser or Tournament Organiser and request to be removed from the Leagues or Tournaments.
  • If you do not want to receive club's email Newsletter, then you can either follow the "unsubscribe" links at the bottom of the messages, or you can log in to this website and adjust your Email Settings for email Newsletters.

MYCOURTS and Wolverhampton Lawn Tennis & Squash Club will not sell, distribute, lease or transfer your personal information to third parties unless we have your permission which will be sought in each instance unless required by law to do so.
