WLTSC Security and Access

Dear [[firstname]]

Over the past few months, we have become increasingly aware of the vulnerability of our systems, and the relaxation of access controls that have resulted in a number of cases of non-members gaining unauthorised entry to facilities at the Club that are specifically for member use only.

Following the Southport incident last year, we are more aware of the need to address the failures at the club that would otherwise enable unauthorised access to WLTSC.

In the longer term your Board of Directors would like to see a single point of entry to the Club. However, that would mean building a new reception/shop facility which is, at least, a few years away.

We have also completed a Fire Risk Assessment of the premises which has identified many shortcomings that would, in the case of a fire, invalidate our insurance. As a matter of urgency those shortcomings are being addressed.

So, in the meantime, and particularly with the influx of pay & play visitors we intend to tighten up security and ask everyone to be more secure aware.

The measures that over the next few weeks we will take will be as follows: -

1. Recruit an addition security staff member to patrol the facilities, particularly outside of Energize on-site hours.

2. The Risk Assessment pointed out to us that fire doors are often wedged open. This practice must cease. Kettle bells and other items must not be used as door props. Fire escape doors must remain closed and are to be opened in emergencies only and will be alarmed.

3. The access doors to the squash area from the external steps will revert to a fire exit only. Access to the squash courts will be through the main door and corridor.

4. We will be installing fob access control to what is currently the exit door from the Pit. This will enable members to enter the Pit without disturbing any Spin classes.

5. At times we host groups of visitors for tournaments at the Club. The practice of leaving the door systems unlocked will cease and in future visiting players will be issued with a returnable membership card programmed for access to specific areas of the Club for the duration of the event. We are trialling this process this weekend for the Inter Counties Racketball Tournament.

6. Anyone arriving at the rear entrance to the club and buzzing the intercom for access will be invited to go to reception. In the case of members, they will be reminded of their obligation in future to use their card or fob.

7. It has been noted that emergency door access controls have at times been activated without due cause or reason. You are reminded that these controls are to be used in an emergency only.

We all have a part to play in club security. We are all courteous and politely hold open doors for other people, however, question yourself when you do. Are you sure that person is a member? As a member of the Club, you have a duty of care to question someone, and if you have a concern please report it to reception.

Your fellow member
